Reports & export

Getting figures out of Businessly as a PDF or a spreadsheet — for your accountant, for a customer, or just for your own records.

Every report screen — the cash book, expenses, a customer's statement — keeps the same two small buttons at the top right: a calendar for the period, and a share button for the export.

Choose the period first

The calendar button opens a sheet headed Show entries from, offering All time, this week, this month, last month, last 30 days, and Pick dates… for anything else.

While anything other than All time is active, a small dot appears on the calendar button and a chip under the header names the period — its ✕ jumps straight back to all time. So a filtered list can never quietly look like missing entries.

Then the format

Share this record gives two options:

PDFSend on WhatsApp — Share a copy (e-mail or print too)
Excel, on a phoneSave as Excel file — For your accountant. Saves the file, then you choose where to send it.
Excel, on a PCSave as Excel file — For your accountant. Goes to your Downloads folder.

Under the heading, the sheet shows the exact name the file will have, so you know what to look for in Downloads or in the chooser.

What the file is called

Every PDF and Excel file is named the same way, so a month of exports — in a PC's Downloads folder, in a WhatsApp chat or in your accountant's inbox — can be told apart at a glance:

That is Businessly, then your shop name, then the report (Cash Book, Expenses, or Statement and the customer's name), then the day you exported it as year-month-day — always in English digits, whatever language the app is in. Characters a file name cannot hold (such as / : * ? " < > |) are dropped from the shop name, and a very long shop name is shortened. The same name is the title the phone's share sheet uses, and the small "Made with Businessly" line at the foot of each PDF carries the brand.

What you can export

  • Cash book — every movement in the period, as PDF or Excel
  • Expenses — the filtered list, grouped or flat
  • A customer's statement — their history for a date range, as PDF
On Android

The share sheet lets you send it straight to WhatsApp, email or Drive, or save it to the phone.

An Excel file is different: Businessly saves it inside the app and then opens the same share sheet straight away, with the toast Saved — choose where to send it. That is how you get the file out — to WhatsApp, e-mail or Drive. It is not put in your Downloads folder, so there is nothing to go looking for there; if you dismiss the share sheet, tap the Excel row again.

On Windows

PDFs go through the print dialog, where you can print or save to a file. Excel files save straight to your Downloads folder, and the toast says so (Excel file saved to your Downloads folder).

Which to use

PDF for anything a person will read — a customer wants a statement, you want a record of the month.

Excel for anything a person will work with. An accountant almost always wants the spreadsheet.

What it is not

There is no profit-and-loss statement, no tax report, and no balance sheet. Businessly exports the records you entered; turning those into accounts is your accountant's job.
